The Junk Email Filter in Microsoft Outlook evaluates incoming messages against lists of senders and Internet domains designated either as safe or to be blocked. You can customise the filter to allow or block senders and different message types.
When a sender is on the Blocked Senders List, they won’t be able to send you any more emails. They’ll also be treated as junk mail by Outlook and won’t appear in your Inbox.
One thing to note is that, in some cases, this may not work exactly as expected. That’s because some senders whose addresses you have added to your Blocked Senders List won’t actually be blocked from sending you emails. Instead, their emails will be treated as junk mail by the Junk Email Filter and subsequently moved to your Junk folder.
However, you can easily correct this by adding these senders to the Blocked Senders List again. To do so, click the Tools menu, point to Message Rules, and then select Blocked Senders List.
Alternatively, you can add the email address to your Safe Senders List. By doing this, you are telling Outlook that the sender of a message is an address that you trust and that you don’t want to be treated as junk mail.
If you have added a sender to your Safe Senders List, the next time they send you an email, it will be assessed for SPAM based on the same criteria as any other sender. You can add up to 2000 senders to your Safe Senders List.
You can also remove a sender from your Safe Senders List by clicking the More button (three vertical dots) in the email window and selecting Remove from Blocked Senders and Domains. This is a very quick way to do this and prevents all future emails from the person you blocked from being displayed in your Inbox.
Another option to block a sender is to mark them as junk in your Outlook mobile app. This is not available if you’re using the Outlook web app, but if you have an iOS device that’s linked to your Outlook account then you can do it by tapping on the three vertical dots in the upper right-hand corner of the email window and then marking it as junk.
The only downside to this method is that you’ll have to do it for each and every email you receive from a particular sender, which can be rather tedious.
It’s a good idea to use filters and rules to manage your inbox more effectively, and that’s why you should always consider blocking or unblocking email addresses when necessary.
